Troop Committee for Troop 331 

Description of Committee Member Positions

The troop committee is the troop's board of directors and supports the troop program. A minimum of 3 members is required by the BSA but with a troop of our size (and activity level) we need many members to fill all the positions. The purpose of this document is to list all the positions needed by our troop and their duties. It is intended for all the adults associated with our troop and the parents of boys looking for a troop.

Chair
  • Organize the committee to see that all functions are delegated, coordinated, and completed.
  • Maintains close relationship with the chartered organization rep and the Scoutmaster.
  • Prepare troop committee meeting agendas and then preside over these monthly meetings.
  • Ensure troop representation at monthly roundtables.
  • Arrange for charter review and re-charter annually.
Secretary
  • Keep minutes and send out committee meeting notices.
  • Handle publicity.
  • Maintain troop's soft-data and provide access to it (forms, by-laws, etc.).
  • Work with the Scoutmaster to communicate troop events and activities.
Treasurer
  • Handle all troop funds and boys' accounts. Pay bills on recommendation of the Scoutmaster and authorization of the troop committee.
  • Maintain checking and savings accounts.
  • Train and supervise troop scribe in record keeping.
  • Supervise money-earning projects, including obtaining proper authorizations and distributions.
  • Supervise the camp savings plan.
  • Lead the Friends of Scouting campaign (unless assigned to someone else).
  • Report to the troop committee at each meeting.
Chaplain
  • Give guidance to the chaplain aides including Sunday service planning for campouts.
  • Give spiritual counseling service when needed.
  • Encourage Boy Scouts to earn their appropriate religious emblems.
Advancement Coordinator
  • Encourage Scouts to advance in rank.
  • Maintain all Scout advancement records.
  • Arrange troop "boards of review" and quarterly "courts of honor".
  • Develop and maintain a merit badge counselor list (unless assigned to someone else).
  • Secure badges and certificates.
  • Work with the troop librarian to build and maintain a troop library of merit badge pamphlets and other advancement literature.
  • Report to the troop committee at each meeting.
Outdoor Activities Coordinator
  • Help in securing permission to use camping sites.
  • Secure tour permits for all troop activities.
  • Report to the troop committee at each meeting.
  • Promote attendance at troop campouts, camporees, and summer camps.
Training Coordinator
  • Ensure troop leaders and committee members have opportunities for training.
  • Ensure adults involved with the scouts receive BSA Youth Protection training.
  • Attend and coordinate the annual troop junior leader training session.
  • Encourage periodic junior leader training on the council or national levels.
Equipment Coordinator
  • Supervise and help the troop procure camping equipment.
  • Work with the quartermasters on proper storage and maintenance of all troop equipment.
  • Keep an inventory of troop equipment.
  • Make periodic safety checks on troop camping gear and encourage scouts in the safe use of all outdoor equipment.
  • Report to the troop committee at each meeting.
  • Maintain the troop trailer and help secure a storage location for it (unless assigned to someone else).
Charter Organization Representative
  • Must be a member of the charter organization and serves as head of "Scouting department" in the organization.
  • Serves as liaison between the Troop Committee Chair and the charter organization.
  • Works with the charter organization on the use of their facility for scout meetings and activities.
  • Encourages service to the organization.
Merit Badge Coordinator
  • Coordinates troop merit badge classes.
  • Recruits, assists, and trains merit badge counselors.
  • Focuses on merit badges required for Eagle and others that interest troop.
New Membership Coordinator
  • Maintain new member welcome information packets.
  • Distribute welcome packets to new and prospective troop members.
  • Inform appropriate Webelos leaders of upcoming recruiting events being hosted by the troop. Coordinate troop meeting and campout visits by the Webelo dens with the Webelos leaders and the troop leadership.
  • Initiate new scout parents into the troop and inform them of the adult leadership positions available.
Ceremonies Coordinator
  • Supervise the organization of the troop's Court of Honor ceremonies. Work with the PLC to ensure that all parts of the ceremony are assigned.
  • Maintain equipment and inventory used at ceremonies.
  • When needed, coordinates Crossover ceremonies. This could include supplying necessary equipment and arranging for adults and scouts from our troop to participate.
  • Works with the Membership Coordinator or the packs to assure that Crossover ceremonies are performed.
Friends of Scoutings Coordinator
  • Leads the annual Friends of Scouting campaign which includes distributing campaign forms and collecting contributions for the treasurer.
Web Page Coordinator
  • Maintains troop's Internet web site.
  • Responsible for retaining troop's domain name.
  • Works with the scoutmaster and troop committee to assure current and future events are posted on the web site.
  • Promote use of the web site to scouts and their parents.
  • Enforces the web guidelines set down by the council and national office.
Popcorn Kernel
  • Coordinates the annual sale of BSA popcorn for the troop.
  • Distributes and collects popcorn sale forms and provides the information to the district.
  • Ensures troop's popcorn is picked up from the council and distributed to appropriate scouts.
  • Oversees the collection of the money from the boys.
Annual Picnic Planner
  • Work with the troop committee to plan a date and program for the function.
  • Secure a picnic site.
  • Publicize event and encourage participation using flyers and announcements.
  • Coordinate food for the event and collect fees if necessary.
  • Get volunteers to help with setup and cleanup.
